These Terms and Conditions govern the use of Maxima Tutors’ services, including tutoring sessions, resources, and online platforms.

2. Tutoring Services

Maxima Tutors offers a wide range of tutoring services, covering various subjects and educational levels. Our services include but are not limited to:

  • Subjects Offered: Mathematics, Sciences (Physics, Chemistry, Biology), Languages (English, French, Spanish, etc.), Humanities (History, Geography, etc.), and more specialized subjects as per demand.
  • Educational Levels: Our tutoring caters to students from primary education to university level, including test preparation for standardized exams.
  • Mode of Delivery: All our tutoring sessions are conducted online, utilizing state-of-the-art virtual learning platforms. This includes live tutoring sessions, interactive resources, and continuous online support.
  • Customization: Each tutoring program is tailored to the individual needs of the student, focusing on their specific academic goals and learning style.
  • Quality Assurance: All tutors are subject matter experts and trained in online teaching methodologies to provide a comprehensive and engaging learning experience.
  • Maxima Tutors is committed to ensuring a perfect tutor match for every student. We offer an initial paid trial lesson to assess the compatibility between the tutor and student. If the student or parent feels that the tutor is not the right fit, we pledge to provide an alternative tutor at the same or lower price point. Please note, while we endeavor to arrange a substitute as swiftly as possible, the process requires time to ensure the best match according to the student’s needs and tutor availability.

3. User Obligations

Outlines the responsibilities of clients, including adherence to schedules, payment terms, and respectful conduct.

  • Schedule Adherence: Clients must commit to the agreed tutoring schedule. Changes or cancellations should be made according to the policy outlined in the 'Scheduling and Cancellations' section.
  • Payment Compliance: Clients are responsible for timely payments as per the agreed terms. This includes adherence to the pricing structure, payment deadlines, and any applicable cancellation fees.
  • Respectful Interaction: All interactions with tutors and staff must be conducted in a respectful and professional manner. This includes maintaining a conducive learning environment during sessions and abstaining from any form of harassment or inappropriate behavior.
  • Technical Requirements: Clients are expected to have the necessary technical setup for online tutoring, including a stable internet connection, appropriate software, and hardware (Zoom account and a browser.) At Maxima Tutors, we employ a suite of digital tools and processes to deliver our services effectively. Clients and tutors are expected to engage with the following platforms as part of our service delivery:
    • Teachworks: All tutoring sessions must be booked through Teachworks. It is the central platform for managing schedules, tracking session completion, and viewing tutor availability.
    • Zoom: Sessions are delivered via Zoom, providing a reliable and interactive virtual classroom experience. Users are required to maintain an active Zoom account for participation.
    • Email Communication: The primary method of official communication between Maxima Tutors, students, and tutors is email. We expect all parties to regularly check their email for updates, confirmations, and important information related to tutoring services.
    • WhatsApp: Only on rare occasions, and when explicitly agreed upon, will communication be conducted via WhatsApp for quick, informal interactions.
  • Feedback and Communication: Clients should provide timely feedback on their tutoring experience and communicate any concerns or issues to Maxima Tutors via email at hello@maxima.education promptly for resolution.
  • Data Protection: Clients must adhere to data protection guidelines, ensuring the confidentiality of any shared educational materials or personal information.

4. Payment Terms

  • Fee Structure: Maxima Tutors offers a transparent fee structure that includes hourly rates and package deals. Additional costs, if any, such as materials or registration fees, will be communicated upfront.
  • Payment Schedule: Payments must be made prior to the session or as per the agreed schedule for package deals. Invoices are issued upon confirmation of a trial lesson or package purchase and are due upon receipt.
  • Cancellation and Refund Policy: We require a 24-hour notice for session cancellations to avoid a fee. Refunds for unused sessions in a prepaid package may be granted under certain conditions.
  • Payment Methods: We accept payment via credit/debit cards and online transfers. Instructions for secure transactions will be provided.
  • Invoicing and Receipts: Detailed invoices will be provided for all transactions, and payment receipts will be issued as confirmation.
  • Bundle Packages: Clients have the option to purchase lessons in bundles following a successful trial lesson. Multiple bundle sizes are available to suit diverse educational needs.
  • Late Payment: Late payments may incur additional charges and could lead to a temporary suspension of services.

5. Tutor Qualifications and Selection

Maxima Tutors prides itself on a rigorous vetting process to ensure that all tutors meet our high standards. Our comprehensive selection procedure includes:

  • Academic Verification: Tutors must possess relevant qualifications in their subject area, with many holding advanced degrees.
  • Teaching Experience: We seek experienced educators who demonstrate a proven track record of effective teaching strategies and positive student outcomes.
  • Background Checks: Every potential tutor undergoes a thorough background check to ensure the safety and integrity of our educational environment.
  • Skill Assessment: Candidates are evaluated for their pedagogical skills, subject knowledge, and ability to engage students through an interactive online platform.
  • Continuous Professional Development: Our tutors are encouraged to engage in ongoing training to stay current with the latest educational practices and digital teaching tools.

6. Scheduling and Cancellations

This section ensures efficient management of tutoring schedules, respecting the time of both clients and tutors.

  • Session Scheduling: Clients can schedule sessions through our online platform. Availability is based on tutor schedules, and clients are encouraged to book at least 3 working days in advance.
  • Rescheduling: To reschedule, clients must notify at least 24 hours before the session. This allows for tutor availability adjustments and avoids disruption.
  • Cancellations: Sessions canceled less than 24 hours in advance may incur a cancellation fee. Exceptions for emergencies are at Maxima Tutors' discretion.
  • Missed Sessions: A no-show or missed session without prior notice is charged in full.

7. Intellectual Property

This section ensures the protection and proper use of educational materials, maintaining the integrity and value of Maxima Tutors' services.

  • Ownership of Materials: All educational materials provided by Maxima Tutors, including lesson plans, worksheets, and digital content, remain the intellectual property of Maxima Tutors.
  • Use of Materials: These materials are for personal, non-commercial use only. Reproduction, distribution, or commercial use is strictly prohibited without prior written consent from Maxima Tutors.
  • Protection of Intellectual Property: Clients agree to respect intellectual property rights and prevent any unauthorized use of materials.

8. Confidentiality and Privacy

This section emphasizes our dedication to safeguarding client privacy and handling personal data with utmost care and in accordance with legal standards.

  • Client Information Protection: Maxima Tutors is committed to protecting the confidentiality of all personal information provided by clients. This includes student details, contact information, and payment data.
  • Data Use: Information collected is solely for the purpose of providing and improving our tutoring services. It will not be shared with third parties without explicit consent, except as required by law.
  • Privacy Compliance: Our practices comply with UK privacy laws and regulations, ensuring data security and client privacy.
  • Client Access to Information: Clients have the right to access their personal information held by us and may request corrections or deletions as appropriate.

9. Liability and Indemnity

  • Limitation of Liability: Maxima Tutors is not liable for any direct, indirect, incidental, or consequential damages arising from the use of our services. This includes, but is not limited to, academic performance and personal interactions.
  • Indemnification: Clients agree to indemnify and hold harmless Maxima Tutors from any claims, damages, or expenses resulting from their misuse of services.
  • Exclusions: Liability terms may not apply in jurisdictions that do not allow the exclusion of certain warranties.

  • Procedure: Maxima Tutors has a structured process for addressing disputes or complaints regarding our services. This includes an initial review, mediation efforts, and, if necessary, formal resolution steps.
  • Client Cooperation: We expect clients to engage in this process in good faith, aiming for a fair and amicable resolution.

11. Amendments to Terms and Conditions

  • Updates: Maxima Tutors reserves the right to modify these Terms & Conditions. Any changes will be communicated to clients in a timely manner via email.
  • Acceptance: Continued use of our services after changes signifies acceptance of the new terms.
